Meet the Payroll Team!

Julie Rolt has worked in the payroll team for four years and is responsible for managing payroll for eight branches and for setting up new payroll runs when we acquire new branches. “Every branch is on a different payroll schedule, some are weekly, some fortnightly, some four-weekly and some monthly, which means that just about every day there’s a payroll to run. Although this might sound like a bit of a nightmare it does actually mean it’s easier to manage the number of branches we look after – if they were all on the same day it would be a much bigger challenge. The largest payroll I have is around 200 people and the smallest just two!

If I could make a plea to all the carers who read this – it’s to make sure when they send us their forms – either the first one with bank details etc or subsequently to notify us of any changes – please make sure they are legible and that they are signed. We’re not allowed to change anything without a signature and if we can’t read it we can’t pay you! We need to know in writing if you get married, change address, change your name or change your bank and it has to be notified in time to make the changes before the payroll run -  we pass it through to the bank a few days before pay day so need to have forms in good time.

I would also like to remind carers that they need to keep their payslips not throw them away, this is an Inland Revenue requirement and you need them for tax credits. We have to charge you to replace them, so keep them safe! I really like my job in payroll, we have a good team here and there’s a nice atmosphere, it’s also really good to get involved with the fundraising for the Hospice that we do every year.

 Joy Goodman says “We do get a lot of queries about pay from the carers but we usually have to tell them to speak to their branch, it’s nice to talk to them but we pay on the information we’ve been given – we just have a list of their names and the amount due, no other details so we can’t answer most queries. Sometimes we get calls about tax codes, if a new member of staff doesn’t have a P45 from their previous employer their Branch Manager should ask them to complete a P46 which is sent to us with a starter form, otherwise we have to use the basic tax rate without allowances. We do try and help if we get a call but usually it’s quicker to ask your Branch Manager. As well as the starter forms that we need in order to pay you and put you on the right tax code, it’s also important that we get your leaver form too so we can ensure you have any holiday pay due in your last pay packet and that we can send you a P45 for your new employer.”

Chris Sugg who is also part of the Cambridge payroll team has a different role as she deals with the time sheets for the local branch. Chris says it’s important that staff get their time sheets in on time so they can be checked against the system and any discrepancies checked with co-ordinators. “I know how important it is to people that they receive the correct pay and it’s really important to me that we get it right”, Chris says. “If my carers do not send in timesheets, I write and then telephone them, but other branches may not have the time or resources to do this.”

 As well as her role in the payroll team Chris is also an enthusiastic contributor to the team’s annual fundraiser for the local Children’s Hospice. We have been raising money every Christmas for many years”, says Chris. “Every year there’s a different theme – last year it was ‘Good night’ and we all came to work in our nighties and pyjamas, some were definitely more glamorous than others! If someone doesn’t dress up they are fined £5 and we collect items all year for a mammoth tombola. Last year we raised £269. Everyone joins in including carers and office staff from Live-In and Dom.Care and John Coleman always supports us too.”
